Booking Terms & Conditions

These terms and conditions were last updated on July 29th 2021. These conditions apply to all bookings and transactions made after this date.

THERE ARE SOME SPECIAL CONSIDERATIONS due to the threat of cancellation because of the Coronavirus worldwide outbreak. You MUST have a trip cancellation insurance policy OR fully accept that deposit and final payments already made are non-refundable.

Your trip insurance should cover you if you request a change to your dates after confirmation or cancel due to any circumstances.

When I start reserving rooms and booking taxis and luggage transfer for your tour I will have a contract with them to provide the service and for you.

PRIVACY INFORMATION. We may share your name with our service providers to fulfil orders you place with us and to provide the services you request. We will use your name and our email and postal address when booking accommodation and services. We NEVER share your email or postal address with our service providers.

REQUEST TO TRANSFER A BOOKING TO A LATER DATE. These tours are very complicated to put together and involve many different suppliers, who may not be able to accommodate you on a different date. We CAN NOT therefore transfer any booking to a later date. A request to transfer dates is therefore treated by us as a cancellation. You should take travel insurance to cover you for a cancellation of your booking dates.

CANCELLATION of BOOKING by EXPLORE BRITAIN: We have never cancelled any pre-booked holiday with us. In the unlikely event that we have to make changes to a holiday, we will always provide the new service at an equal or greater value, and inform you of the change as quickly as we are able.

REVIEW YOUR TRIP CANCELLATION POLICY AT THE TIME OF MAKING THE ORIGINAL BOOKING. This policy must be purchased by yourself and its value should include your complete holiday payments before, during and after your activity holiday with Explore Britain. We will presume that if you select not to take out trip cancellation insurance then you accept that you may be considerably out-of-pocket if you do cancel the Explore Britain trip at a later stage.

Our independent inn to inn tours are quite complicated and time consuming to put together (and cancel if required). Each accommodation along the route will charge us the first nights bed & breakfast rate, whether you turn up or not; any additional nights booked with them may only be refunded if they can re-let the rooms. When we have mailed the complete tour package to you, all payments have been made and all of our services which you have requested have been provided. There is no refund payable by us after this tour package mailing date.

Any cancellation or change of existing booking must be made in writing and is effective from the date received at our office.

All your payments to Explore Britain up to the start of the tour are used to pay deposits and final payments at all the places you stay at and for services required along the route and for our own services and overheads initiating your booking request. If you cancel your tour, for whatever reason, only some of this may be refunded by suppliers. I will refund payments that are returned to me, but this may take a few weeks to receive. I believe it is also reasonable for me to charge for any bank charges, printing and telephone calls made on the original booking and the cancellation request.

Any refund will always be made in Pounds Sterling either by a sterling cheque or by PayPal. Please be aware that in both cases if you transfer the payment into another currency account, your bank or PayPal will make charges (in the same way that if you paid for your holiday to us in any currency other than sterling we will have paid charges). We strongly recommend that at the time of booking, you take out holiday insurance. The policy should cover the possibility of you having to cancel or change the dates of your trip with Explore Britain.

Booking a Holiday

The balance of your holiday must reach us 2 months before the start of the holiday; otherwise we cannot guarantee to hold your booking. Where a booking is made less than 2 months before the start day of the tour, the full amount is payable at the time of booking.

Payment for our tours can also be made by personal cheque and made payable to "Explore Britain". The check should be in your own currency UNLESS you have obtained a bankers draft. Please note. Unless we have received full payment, in sufficient time to verify the funds, your tour is NOT confirmed.

UK Package Tour Regulations In accordance with "The Package Travel, Package Holidays and Package Tours Regulations 1992 Act" all monetary payments made to us for your holiday are held in a Clients Trust Account. This money is not available to Explore Britain until the completion of your holiday, your cancellation or your written authorisation before the tour completion date.

Upon receipt of your booking we will reply with confirmation and the trip information sheet, usually within 7 days.

We strongly suggest taking out travel insurance at the time of booking. To be valid this must usually be made within 14 days of sending the deposit.

Booking a holiday from Non-United Kingdom countries

We accept direct bookings from overseas, or from a Travel Agent. If you wish to settle your payments in your own currency please check with us first, or select one of the currency options on the on-line booking form. If your currency is not shown, please ask and we will quote. The currency must be an authorized currency that PayPal accepts, otherwise a payment in Pounds Sterling must be made.

We have received very few complaints (1 in 23 years! - due to a client booking a tougher tour than she was able to cope with). However should you have cause for dissatisfaction while you are on holiday please tell the accommodation immediately and us as soon as possible so that we can attempt to resolve the problem quickly.

What is included in the tour price?

The tour price includes value-added tax (VAT) at 20% where applicable. This is not refundable.

Accommodation with breakfast (indicated as bed & breakfast) is NORMALLY included on all tours. Increasingly we are finding due to Staff Shortages since Covid that smaller places are offering room only options. If this the case then the tour price will reflect a room only availability and they will advise you of nearby places to eat breakfast (which you will have to bok direct and pay yourself). This is generally because of the legal requirement to cook & notify you of foods that may cause allergies.

Overmarked walking maps. Route description package (which may be a guidebook and/or printed notes).

Moving of luggage (where applicable) between overnight accommodations.

If you require cash money for public transport, which is not pre-paid, you will be advised of this on your joining instructions.

You will require pocket money for your breakfast (if not included), evening meals, lunch-time snacks or meals, drinks, souvenirs and telephone calls.

Linking Tours

If you are considering taking two or more tours, it is possible to travel between most tours by public transport in a day.

However we recommend that you do not attempt to journey to either ends of the country or to another country in a single day.

Feedback about our Tours from previous Clients

Group Tours

We can not provide our kind of tours for large groups. Please be aware that in rural areas it can be difficult to get one night stays for anymore than 4 people. Because of fire regulations please note the guesthouse accommodation we use on the Independent tours are generally limited to 4 people, above that number we have to use hotel accommodation.

If the first word out of Jim's mouth when asked by our taxi driver upon arrival back into San Diego was "fantastic"describing our Walk, then I guess that one word could summarizes our experience along the Thames River. As you know, this was our fourth experience with self-guided walking tours in southern England and without a doubt the best one. All accommodations were to our standards, and in several cases, better than expected. The rooms were beautifully appointed and bathtubs were so welcomed. Our feet say "thank you." The luggage transfers worked without a glitch. One suggestion, however, would be to place your company's contact information as well as the client's itinerary on tags attached to the luggage. If anything, that practice reduces client stress about a possible mix-up (has happened to us with another company. Another suggestion would be to make the hotel reservation in the client's name instead of yours to cut down on confusion with hotel reception staff. Thank you for securing all the train tickets which can be a hassle especially during rush hour. Your specific written direction to our accommodations were clear and easy to follow and the accompanying maps and guide book were extremely helpful where signage was either missing or confusing. Without a doubt we will recommend your company to friends seeking a similar experience to ours and in the future we'll do business again this time with a combo trip to include the Cotswolds and the Lake District. Thank you for arranging such an enjoyable experience.
